Office 365 Calendar Sharing Tips

Outlook Calendar TipsThe Outlook calendar is a powerful organizational tool.  Calendar sharing can help you create and share a calendar with students or parents.  Here are three tips for simple calendar creation and sharing in Outlook Online.

Creating New Calendars 

Creating a new calendar allows you to share a specific calendar with a group without all group members seeing your primary calendar. 

  • Open Outlook in Office 365 
  • Click the Outlook Calendar icon (typically on the bottom left or side of the screen) 
  • Select Add Calendar (left sidebar) 
  • Name calendar in the box that appears in your My calendars list 

Sharing Calendars 

Make sure you have selected the correct calendar prior to following these steps:

  • Open Outlook in Office 365 
  • Click the Outlook Calendar icon (typically on the bottom left or side of the
  • screen) 
  • Hover over the name of the calendar to be shared 
  • Click the ellipsis (three dots)
  • Select Sharing and permissions 
  • Enter the contact name, contact group, or email addresses for all those with whom you want to share the calendar
  • Edit permission level for each contact, group, or email address using the dropdown menu by his or her name or email 

Publishing a Calendar to the Web 

This will make the calendar visible to anyone with the link.  It also provides an ICS link for calendar subscriptions. 

  • Open Outlook in Office 365 
  • Click the settings icon (cog/gear wheel at top right of screen)  
  • Type publish calendar in search box 
  • Scroll to Publish calendar section in pop up box 
  • Select calendar you want to publish from drop-down box  
  • Copy and share the URL address and/or ICS links 

Change Calendar Permission Level or Stop Sharing 

  • Open Outlook in Office 365 
  • Click the Outlook Calendar icon (typically on the bottom left or side of the screen) 
  • Hover over the name of the calendar you want to stop sharing 
  • Click the ellipsis (three dots)
  • Select Sharing and permissions 
  • Make permission changes in the drop-down box by each contact/email, or click on trashcan to delete shared access
